Harnwell Room Reservation Policies

At Harnwell College House, there are two types of spaces that may be reserved: A. General (BLUE) and B. Restricted (RED)

  1. Classification of Available Rooms in Harnwell
    1. Blue reservations include the following spaces:
      1. CLASSROOM M-10 (formerly known as Seminar Room 14) — [capacity: 40]
      2. DUNGEON (often referred to as the RATHSKELLER) — [capacity: 80]
      3. LL-12 MUSIC ROOM (practice room w/upright piano) — [capacity: 6]
      4. LL-13 PIANO ROOM (grand piano room—must be on piano list) — [capacity: 10]
      5. LARGE STUDY ROOM 102 (new room near computer lab) — [capacity: 16]
      6. SMALL STUDY ROOM 103 (new room near computer lab) — [capacity: 8]
    2. Red reservations apply to the following:
      1. Rooftop Lounge (RTL) — [capacity: 150]
      2. RTL Kitchen— [capacity: 10]
      3. Dungeon Kitchen— [capacity: 8]
      4. Mezzanine (also known as the Upper Lobby) — [capacity: 60]
      5. Dance Gallery— [capacity: 40]
  2. Distinctions between the two Classifications
    1. Reservations for general spaces (or BLUE) are accepted on a regular basis. For rooms in this category, reservations may NOT be made less than 72 hours in advance (for weekend reservations, please count 72 hours from Friday), and reservations may NOT be made for more than a month at a time.
    2. Restricted (or RED) spaces apply to rooms that 1) are generally regarded as common spaces available primarily to Harnwellians or 2) have special equipment for which groups must take considerable responsibility. For restricted category reservations, a meeting with both the House Dean and House Coordinator at least one month before the scheduled event will be required before the reservation for the event is approved. Fees ranging from $25 to $250 may apply to restricted spaces. Finally, because of the date limits of the online form, restricted reservations should substitute date information by completing the “Notes” field when submitting the form.
  3. General Policy for all rooms

    POLICY FOR ALL ROOMS: Please leave rooms clean and neat. Posted in each space is a “map” of how the space should be arranged, and we expect groups to leave the space according to this map’s guidelines (even if the room was not originally configured that way). Groups should provide a budget code. Individuals should provide their PennCard numbers. The cost of any unusual amount of housekeeping or any repairs necessary after use of the space will be charged to these accounts. In addition, problems with trash, noise, vandalism, or inappropriate behavior will result in the suspension of privileges from the House for the remainder of the year. Once a room is reserved, users are responsible for checking out AND returning the necessary keys from the Information Center in a timely manner.

  4. Rules applying to specific rooms
    1. NOTES FOR BLUE RESERVATIONS
      1. CLASSROOM M-10 (formerly known as Seminar Room 14): Furniture should not be moved, but should be left set up for meetings/classes. Priority is given to music lessons, academic-related groups, lectures, and meetings run by House staff/associates. No food or drink on the piano. Stands and electronic equipment should remain in the room
      2. DUNGEON (often referred to as the RATHSKELLER): Priority will go to Harnwell groups. Furniture must be arranged properly when leaving the room.
      3. LL-12 MUSIC ROOM (practice room w/upright piano): This room is generally used on a first come/first served basis. All Harnwell residents will have access to this room by checking the key from the Information Center. Non-Harnwellians must apply to be placed on the practice room list. Musicians who are not pianists are encouraged to use this room. Hours may be limited during Dungeon performances. No food or drink in the room. Stands, benches, and chairs should be left in the room.
      4. LL-13 PIANO ROOM (grand piano room): Priority for this room will be for music lessons in the House. All users must be on the grand piano user list and must check out the key from the Information Service Center. Hours may be limited during Dungeon performances. No food or drink in the room. Stands, benches, and chairs should be left in the room. The piano lid should be closed and the keyboard covered and locked after use.
      5. LARGE STUDY ROOM 102 (new room near computer lab): This room is generally used on a first come/first served basis, which means that the room will be reserved only for special occasions—not for regular study sessions.
      6. SMALL STUDY ROOM 103 (new room near computer lab): This room is generally used on a first come/first served basis, which means that the room will be reserved only for special occasions—not for regular study sessions.
    2. NOTES FOR RED RESERVATIONS— (IN ADDITION TO RESTRICTIONS FROM SECTION IIB)
      1. ROOFTOP LOUNGE (RTL): Because this space also functions as the common space for floors without a lounge, the Rooftop Lounge is generally not available to groups outside of Harnwell. Interested groups are encouraged to have Harnwell members and should have a Harnwell sponsor for a reservation to be approved. In the rare instance in which an outside group is permitted to use the RTL without a Harnwell sponsor, the group will be charged $250 for use of the facility if the reservation is approved. Amplified music is prohibited unless special permission has been granted by House, and in any case cannot be played after midnight. Times that are NOT available for the RTL- Sunday through Thursday, 8:30 PM - 2:00 AM (The RTL also functions as the library)
      2. RTL KITCHEN: Like the RTL, the RTL Kitchen is generally not available to groups outside of Harnwell. Interested groups are encouraged to have Harnwell members and should have a Harnwell sponsor for a reservation to be approved. Non-Harnwell sponsored activities (even those groups with a Harnwell sponsor but holding an event not designated as a Harnwell event) will be required to leave a $50 deposit for use of the kitchen.
      3. DUNGEON KITCHEN: The Dungeon Kitchen is not available to groups without a Harnwell resident as a sponsor. Events using the kitchen must be held for Harnwell residents.
      4. MEZZANINE (also known as the Upper Lobby): Because this space functions as a common space, the mezzanine is generally not reserved. Groups are free to sit and chat on first come/first served basis but may not exclude anyone or monopolize the space. Events in which a reservation is approved must be held specifically for Harnwell residents.
      5. DANCE GALLERY: No shoes should be worn in the dance gallery, unless they are made for dancing and will neither mark nor scratch the wood floor. No moving of heavy objects (such as furniture) across an unprotected floor. All such objects should be placed on a protective mat. Furniture from other parts of the Harnwell building should not be moved into the Dance Gallery. No food allowed. Performing Arts groups who use this space with any regularity – more than once a month over the course of the semester—will be expected to pay “rent” (free tickets, or a free in-House performance).
